- BACKGROUND
1.1 This Privacy Policy explains how Edventure Travel generally processes handles and protects your personal information.
1.2 Edventure Trave needs to collect, use and disclose personal information in order to perform its business functions and activities, including making and managing travel bookings on behalf of our customers. We are firmly committed to protecting the privacy and confidentiality of personal information and to maintaining various physical, electronic and procedural safeguards to protect personal information in our care.
1.3 We will update this policy on our website if we change the way we handle personal information.
1.4 For the purposes of the Australian Privacy Act 1988 (the Privacy Act) and other similar situated legislation we are a “data controller” (or equivalent) for the processing of personal information you provide to us in connection with:
1.4.1 our provision of travel services; and
1.4.2 for the purpose of all our marketing activities.

3.1.3 Travel details: such as travel itinerary, baggage, accommodation details and meal requests
3.1.4 Health and dietary information
3.1.5 Payment details: such as credit or debit card number and expiry date
3.1.6 Our interactions with you: such as any feedback, complaints, compliments, claims you have made, responses to market surveys, records of any correspondence and interactions with us and our staff (including in person, online, by telephone or email and via social media)
3.1.7 Your interests such as destinations you have visited and products you have used
3.1.8 Incidents: details about any incidents that you are either involved in or that you witness, in connection with your travel or any of our products or services
3.1.9 Certain aspects of your personal information, for example details of your travel documentation, payment details and contact information, are required for many of our products and services and if you fail to supply such information as requested for specific services, we may be unable to provide you with the products and services in full.
3.2 Sensitive personal information
3.2.1 Under privacy laws, certain categories of personal information are considered particularly sensitive and therefore as needing additional protection. These categories include information about health, racial or ethnic origin, political opinions, religious beliefs, trade union membership or your sexual orientation.
3.2.2 We may collect and handle your sensitive personal information, for example:
3.2.2.1 when you request special medical or access assistance;
3.2.2.2 if you tell us you have specific dietary requirements; or
3.2.2.3 information required by government authorities, to demonstrate fitness to travel (such as confirmation you meet any applicable COVID-19 testing requirements), or for public health reasons.

4.1 How we collect personal information about you will depend on our relationship or interactions with you.
4.1.1 Directly from you
We mainly collect information directly from you, for example, when you use our website or social media, you call or write to us, we interact with you in person, such as when you use our products and/or services.

4.1.2.1 There may be occasions when we collect information about you from someone else, such as:

4.1.3 If you provide us with information about other individuals, regardless of whether you are travelling together, you are responsible for telling those individuals and letting them know that they can find a copy of this Privacy Policy on our website or email our office for a copy. - How we use your personal information
We may use your personal information for the following purposes:
5.1 To provide and administer our products and services;
5.2 to verify your identity;
5.3 to contact you about your bookings travel accommodation and other arrangements;
5.4 to process payments, for quality assurance and training purposes, such as training our staff, testing our systems, and managing our suppliers.
5.5 to provide you with updates and offers, if you have chosen to receive these and to distribute our newsletters and other communications. We may also use your information for marketing Edventure Travel and our selected business partners’ products and services to you by post, email, SMS, phone and fax and, where required by law, we will ask for your consent at the time we collect your data to conduct any of these types of marketing. We will provide on option to unsubscribe or opt-out of further communication on any electronic marketing communication sent to you.
5.6 To provide customer support, to handle queries, complaints and claims.
5.7 To comply with our legal obligations and for health, safety and security purposes
5.8 We may process your personal information to comply with regulatory requirements including in relation to immigration, public health, customs and security or dialogue with regulators, as applicable, which may include disclosing your personal information to third parties, the court service, regulators or law enforcement agencies in connection with enquiries, proceedings or investigations by such parties anywhere in the world or where compelled to do so.

6.2 We may disclose your personal information to comply with our legal obligations, respond to complaints and claims, and investigate and protect ourselves and third parties against any activity that we reasonably suspect to be fraudulent. We may also disclose your personal information to law enforcement agencies, regulatory authorities and governments around the world and their service providers in connection with their investigations, screening, public health requirements or other functions. - How we hold information and keep it secure
7.1 We hold your personal information in a combination of hard copy and electronic files. We use third party information system providers who may store or have access to your personal information.
7.2 When you book travel and or accommodation with us a secure server is used.
7.3 No data transmission over the Internet or website can be guaranteed to be secure from intrusion. However, we maintain physical, electronic and procedural safeguards to protect your personal information in accordance with data protection legislative requirements and industry standards. - Disclosure of information across borders
8.1 When we disclose personal information in accordance with this Privacy Policy, it may be accessed from, transferred to, and/or stored outside the country in which you are located. The data protection laws in that country may be of a lower standard than those of Australia. We will, in all circumstances, safeguard the personal information as set out in this Privacy Policy.
8.2 In the course of providing our services made through us we may disclose your information in countries where you travel. This includes countries through which you are visiting or transiting.
8.3 We may also disclose your personal information to data processors including operators of global travel and accommodation distribution systems and reservation systems and customer service providers. - Access to, and correction of, information about you
9.1 You have the right to access, or correct, the personal information that we hold about you. If you would like to request access to, or correction of, your personal information that we hold, please contact us using the details in the section titled ‘Get in Touch’ on our website.
9.2 To the extent required by applicable law, we will provide you with access to the information we hold about you, including for the purpose of correcting or updating that information, within a reasonable timeframe (or any time frame stipulated by the laws that apply to your request). If we are permitted to withhold some of your personal information and we choose to do so, we will advise you when responding to your request. If we refuse to provide you with access to, or to amend, the information, to the extent required we will notify you of our reasons for the refusal and how you may complain about the refusal.
